This policy explains how InboxRoads collects and uses personal data when you visit our website or use the Service, and how we process the contact data our customers upload.
1. Data we collect about customers
- Account data: name, company name, email address, country, time zone and password (stored as a one-way hash).
- Billing data: purchase history and invoices. Card details are handled by our payment provider and are not stored by us.
- Usage and security data: log-in times, IP addresses and an audit log of important account actions.
2. Contact data uploaded by customers
Customers upload contact lists (for example email addresses and names) to verify and email them. For this data the customer is the controller and InboxRoads acts as a processor, handling it only to provide the Service. We store only the fields customers choose to import.
3. Email tracking
When a customer enables tracking, emails contain a small image and rewritten links that let the customer see opens and clicks. Tracking links use random tokens and never contain the recipient's email address. We store a one-way hash of the IP address, not the address itself.
4. How we use data
To provide and secure the Service, process payments, send service emails (such as receipts and low-balance warnings), prevent abuse and comply with legal obligations. We do not sell personal data.
5. Sharing
We share data with service providers that help us run the Service — hosting, email delivery providers and payment processors — under contracts that require them to protect it.
6. Retention
Account data is kept while your account is active and for a limited period afterwards for legal and accounting purposes. Uploaded verification files are deleted after processing; result files and contact data are kept until the customer deletes them or closes the account.
7. Security
Data is transmitted over encrypted connections, provider credentials are encrypted at rest, uploaded files are stored privately, and access is restricted by role with two-factor authentication for administrators.
8. Your rights
Depending on where you live, you may have rights to access, correct, delete or export your personal data and to object to certain processing. If you received an email from one of our customers, please contact that sender first; you can also unsubscribe using the link in every marketing email.
